Service and Responsibilities:

The Clerk of Courts, Register of Wills and Clerk of Orphans’ Court Offices are the elected officials, combined known as a dual officeholder. The Clerk of Court’s Office is responsible for recording and maintaining all documents, pleadings and orders for the Court of Common Pleas, summary appeals, bail bonding applications, all criminal cases, juvenile cases, children and youth cases, bridge dockets, detective licenses, constable and tax collectors’ bonds, appointments of public officials, township audits and township reports and other miscellaneous documents. The Clerk of Court’s office is also in charge of properly assessing, collecting and distributing all costs, fines and restitution concerning all these matters. Besides, The Office of the Register of Wills Office is responsible for the probating of wills, the appointment of a representative and issuing of short certificates in support of decedent’s estate. The Office also provides services such as acceptance of inheritance tax payments as well as other miscellaneous documents related to a decedent’s estate. Furthermore, the Clerk of the Orphans’ Court is the record filing office for petitions before the Orphans’ Court, including but not limited to guardianships, adoptions, and the issuing of marriage licenses.

Services and Responsibilities:

The Office of the Prothonotary is responsible for the safekeeping and maintaining all official documents and records related to civil matters. The responsibilities include unpaid debt complaints, malpractice actions, mortgage foreclosures, personal injury cases, equity actions, replevin, district justice judgment appeals, and license suspension appeals, family court matters such as divorce, child custody and protection from abuse cases. The Prothonotary Office also takes responsibility for Mechanics’ liens, municipal claims, federal tax and Commonwealth liens and various miscellaneous judgment liens. Moreover, the Prothonotary also handles recording notary public signatures and maintaining the naturalization records as well as acting as an acceptance agency for U.S. passport applications.

Services and Responsibilities:

The Mercer County Recorder’s Office is responsible for recording real estate deeds, mortgages, agreements, leases, powers of attorney, financing statements (UCC), easements and rights of way, subdivision plans, agricultural security areas, notary bonds, oil and gas leases, and other miscellaneous documents related to real estates. Besides, the Recorder of Deeds office also takes responsibility in oath and bonds for notaries as well as veteran’s discharges. Furthermore, the Office also acts as a collection agent for the Pennsylvania Department of revenue along with the municipalities and school districts of Mercer County for state and local realty transfer tax.
